Henry’s Books Event Policy

AUTHOR EVENT PROPOSAL

Thank you for considering Henry’s Books to host your event. Because we want to ensure a successful event for you and the bookstore, and because events require considerable labor, a formal proposal is required. Please know that we occasionally receive more event requests than we're able to host, so a proposal allows us to determine if an event will be mutually beneficial.

Proposals are due 60 days before the requested event month. (For example, proposals for an April event are due the first week in February.) We'll review your proposal and contact you promptly ONLY if we’re interested in your event.

To be considered for an event, your book must be available via Ingram, with a (REG) 40%+ bookstore discount, or via a publisher from whom we regularly purchase books. Special consideration may be made if we already sell your books/purchase directly from you. 

There is also an industry-standard cooperative advertising fee (co-op) of $98, which is covered by the publisher or author. This fee supports staffing, venue costs, setup and breakdown, inclusion in some of our marketing materials, and more.

Your event proposal must include:

  1. Title, ISBN, and a physical copy of your book. 

  2. 75- to 100-word draft of customer-facing copy for our event calendar. (We reserve the right to edit copy for brevity and clarity.)

  3. Brief author bio.

  4. Why is Henry’s Books the ideal location for your event? 

  5. What is the planned publicity and outreach for your event, apart from Henry’s Books’ marketing?

    1. Which media outlets have you reached out to or already secured?

    2. How many email subscribers and social media followers do you have?

    3. In our experience, audiences for local, non-traditionally published authors are largely made up of the author's friends, family, and colleagues. How many people in your network will attend? 

  6. If your event is confirmed, we’ll need a high resolution author photo and image of the book cover.
     

$98 Cooperative Fee (check with your publisher; most will cover co-op fees) includes:

  • Staffing and use of space.

  • Setup and breakdown of chairs, tables, etc. 

  • Our staff to provide an introduction and monitor your event.

  • Inclusion in our media marketing 

  • Inclusion on our website, our print calendar, and our email newsletter .

WORKSHOP PROPOSAL

To be considered to host a workshop at Henry’s Books, a formal proposal is required. Proposals are due 60 days before the event month. (For example, proposals for an April event are due the first week in February.) We'll review your proposal and contact you promptly ONLY if we are willing to host you.

Your proposal must include:

  1. One-page summary of the proposed workshop. How many sessions? What is the length of each session? Please write a 75- to 100-word draft of customer-facing copy for our event calendar. (We reserve the right to edit copy for brevity and clarity.)

  2. A brief bio that relates to your experience teaching this workshop.

  3. Have you written or do you recommend a book that relates to this topic?

  4. Why is Henry’s Books the ideal location for your workshop?

  5. What is the planned publicity and outreach for your event, apart from Henry’s Books’ marketing?

    1. Which media outlets have you reached out to or already secured?

    2. How many email subscribers and social media followers do you have?

  6. What are the minimum and maximum capacities for your workshop? How many people, based on your following, do you believe would attend?

  7. Dates that you are interested in hosting this workshop.


Workshop Fee:
Together we will set a price for the workshop. Henry’s Books will manage ticketing and pay the instructor 50% of the ticket price.  

  • Use of our space.

  • Setup and breakdown of chairs, tables, etc. 

  • Staffing for the introduction and troubleshooting.

  • Inclusion in our media calendar

  • Inclusion in our print event calendar, our email newsletter, and on our website.
